Vendor Update (8/13/2015)

Hi!

Greetings from Kenosha WI where this year’s RESCU board meetings are underway.  This email is going out to three subsets of vendors.  I’ve described each set and why I am contacting you:

  • Vendors that have already turned in contracts for the Music Festival
    • I need you to verify your category placement and/or menu for the program and website, and also your page on our site.
    • If you are selling from a tent, I want to make sure you know that you can choose a spot during the September Gathering
    • I’m accepting proposals for Friends of Faire favors for 2016
  • Vendors from last year’s Celtic Music Festival that have not replied (either to accept or decline) their invitation for this year; and new vendors accepted to this year’s Music Festival whose contracts are pending
    • I need to verify your category placement and/or menu for the program and website (but only if you are joining us, of course! drop me a quick note to confirm you are coming and I will make sure you are included, otherwise you may not be included in printed materials)
    • If you are joining us and are going to be selling from a tent, I want to make sure you know you can choose a spot during the September Gathering
    • I’m accepting proposals for Friends of Faire favors for 2016
  • All 2016 Sherwood Forest Faire vendors
    • There are two booths for sale that I’d like you to know about
    • I’m accepting proposals for Friends of Faire favors for 2016

For those planning on participating in the Celtic Music Festival and/or Texas Music Jamboree, please download the linked spreadsheet and check your entry.  What I want you to look for is:

  • If you are planning to be open, does your booth appear on the list?
  • Is your booth name spelled correctly?
  • Do you appear in the correct 3 (or fewer – not more) product categories?
  • And less urgently: Is your page on our website correct?  If you have one, there is a link provided in the spreadsheet.  We did not do the page for Celtic vendors last year, but are doing it going forward and those who do not have one yet should be up within a week.

I need to know no later than noon Saturday if there is any problem with the omission of your booth, a misspelling, or a misplacement in product category. After that point it will be too late to fix these issues with regard to the program.

Website issues will take longer to fix, because I am out of town, but please let me know about them if you see them.  One thing you do not need to let me know is that you do not have a page yet.  If your booth says “pending” instead of showing a link, I’ll be creating pages for you next week or when you turn in a contract, whichever is later, and I will let you know when it is done so you can check it.

September Gathering (Labor Day Weekend Sep 4-7)

If you are planning to sell from a tent or an EZ up, the September Gathering is your first opportunity to mark your spot for the Music Festival.  You do not have to come out that weekend, but spots are first come, first served and it is good to get the lay of the land before the show.
If you do come to mark a spot, please bring:
  • Some sort of stakes
  • Some sort of ribbon or rope
  • A waterproof sign that can hang on your ribbon or rope with your booth name on it
I and other staff members should be on hand to help you with spot selection.  Most vendors will be placed by default near the Highland Games Arena, but if you have somewhere else you’d rather be I’m open to suggestions.

Music Festival Employee Lists

Marijke is on vacation.  When she returns, she will let you know what she wants from you for your employee lists this year.  I can tell you that at minimum it will be the name, email, mobile # and job title of each individual. Please be patient… but start gathering that info in the meantime 🙂

Booths for Sale

Only prior or 2016 Sherwood Forest Faire vendors are eligible to purchase booths, and only with management approval.

Friends of Faire Favors

Most of you already know that our “Friends of Faire” are patrons who visit Sherwood Forest Faire frequently, both during and off season, and who are often here rain or shine on faire days.  Each year we offer a pin with our logo made by an artist in the village as part of their swag.  So far we have done a pin made of pottery, copper, wood and leather.  I loved all of those, and am willing to go back to to one of them for 2016, but it would be really cool to continue offering something new each year.

Here’s what you need to know:

  • I expect to need around 800 pieces (though might place a small order on the tail-end if our stock runs low)
  • I need them by 1/15/2016
  • I will pay 50% in advance, 50% upon delivery
  • I don’t have a specific budget per piece in mind (because I would rather not limit you in that way before even getting out of the gate – though, proposals should be reasonable)
  • I will accept proposals until Sep 25 and will choose one by Sep 30
  • We usually use our logo as the basis of the favor, but I am open to other ideas.  Download the logo here
  • In the past they have been a pin you could attach to your garb, or a charm you could tie to your mug, but I am open to other ideas
  • I’d really like to see a sample by the proposal deadline if you are able to produce just one
